The successful applicant into this Executive Assistant III position will bring a strong understanding of Texas A&M, experience navigating responsibilities across a wide range of professional areas, and an eagerness to work in support of the University's Core Values. As a core member of the Assistant Vice President & Chief of Staff to the Provost (AVP/COS) leadership team, the EAIII plays a critical role in coordinating the Provost's commitments and ensuring efficient workflow. The role requires discretion, independent judgement, and the ability to manage matters of significant importance with minimal supervision.What you need to knowSalary Range: Commensurate based on selected hire's qualificationsCover Letter & Resume: are strongly suggestedQualificationsRequired Education and Experience* Bachelor's Degree or Equivalent combination of education and experience* Six years of experience in office administrationKnowledge, Skills, and Abilities* Ability to effectively communicate both orally and in writing* Ability to positively and professionally interact with guests, staff, other employees, and groups of various sizes* Excellent communication and presentation skills* Strong interpersonal and organizational skills* Working knowledge of office software programs* Ability to navigate and professionally navigate confidential situations* Familiarity with higher education administrationResponsibilitiesExecutive and Administrative Support* Provides direct support the Provost & Executive Vice President, including calendar coordination, creation of documents, preparing individual communications, coordinating travel, and facilitating details of projects* Prepares, research, review and provide briefs to the Provost prior to meetings and events* Plans and coordinates logistical and administrative support for meetings and functions for the Provost and provides on- site support as needed* Evaluates documents submitted for Provost signature in coordination with appropriate Provost Leadership Team* Provides operational leadership for daily operational activitiesProject and operational support* Acts as Provost representative, in consultation with AVP/COS, in working with third-party stakeholders when necessary* Provides daily leadership and oversees the review and evaluation of administrative practices and programs and assists in implementing practices for operational efficiency* Liaises, reviews, routes, tracks and seeks approval for processes as needed for the Provost* Assists in the resolution of complex, highly sensitive and confidential administrative matters* Analyzes requirements for projects and initiatives; coordinates and monitors timely completion of action itemsCommittee and Task Force Coordination* Schedules and coordinates committees and task forces led by or involving the Provost* Engages stakeholders, manages agendas, ensures meeting preparation, and takes/distributes minutes* Collaborates with the AVP/COS to ensure proper facilitation, assignment, and tracking of committee and presidential task items* Uses initiative and judgment to respond to highly sensitive administrative matters involving students, parents, and others on behalf of the AVP/COS* Tracks, implements, and follows-up as appropriate on action items assigned through committees and task force work for individual members as necessary and for the ProvostGeneral Administrative Support* Leads, manages, and completes special projects as assigned by the Provost and AVP/COS* Periodically plans, coordinates, and serves as event support for the Provost* Consults, facilitates, and seeks proactive resolution to questions, concerns, and observations from internal and external stakeholders* Maximizes appropriate relationships within the Office of the Provost Suite to deliver solutions for the Provost and the Provost's team* May supervise student workersWho We areThe Office of the Provost empowers and nurtures Aggies to succeed in experiential and transformational education and discovery to meet the needs of a complex world through the strategic development, effective delivery, and strong support of excellent academic programs and services.All positions are security-sensitive.
