Summary:

The Materials Specialist is responsible for maintaining accurate records of assigned materials, ensuring inventory accuracy, and managing documentation for shipping and receiving activities. This role handles paperwork, verifies shipments, coordinates with drivers and carriers, and supports the distribution of supplies and equipment, requiring strong organizational and communication skills. Receives functional guidance from inventory Supervisor. May include other duties as assigned.

Responsibilities:

  • Maintain accurate records of incoming and outgoing materials, ensuring inventory levels are accurate
  • Verify materials are checked against vendor invoices, BOL, and other documentation; review and verify quantities received against BOL, purchase requests, and shipping documents
  • Create, print, and distribute paperwork for finished goods scheduled to be shipped, including packing lists, bills of lading (BOLs), and D-bills
  • Record time, date, quantity, source, and destination of receipt of raw materials and shipment of finished goods
  • Process transactions related to receipt of raw materials and shipping of finished goods, including BOLs, adjustments, Goods Issued, and Goods Receipts
  • Triage driver inquiries and provide correct paperwork; manage side entrance activities
  • Conduct yard checks, verifying which trailers onsite are loaded and which are ready to be loaded, ensuring that appropriate paperwork is correctly stored with correct trailers
  • Gather, verify, and prepare materials for shipment, including packing and labeling, via FedEx or other 3rdparty carriers; receive packings from FedEx or other 3rd party carriers
  • Facilitate the distribution of incoming supplies and equipment to the appropriate party
  • Other duties as assigned

Skills & Competencies:

  • Proficient attention to detail and accuracy skills
  • Ability to stay current and up to date on DOT, IMDG, IATA, and RCRA regulations
  • Advanced communication and interpersonal skills
  • Working knowledge of Word and Excel
  • Proficient IBM Maximo skills
  • Advanced organizational skills

Education & Experience:

  • High school diploma or equivalent
  • 5+ years of shipping & receiving or inventory experience
  • Material Resource Planning (MRP) or Enterprise Resource Planning (ERP) system experience, SAP Material Management Module preferred

Preferred Education & Experience:

  • Associate's degree in logistics, supply chain management, or related field

Physical Requirements

  • Lift and carry loads of up to 50 lbs occasionally
  • Walk, stand, sit, climb stairs, and carry materials on even and uneven terrain
  • Ability to wear personal protective equipment (PPE)
